Information and purpose

We may collect name and contact details, booking and travel information, passport and visa copies, driving-licence and International Driving Permit (IDP) copies, rental-agreement information, payment and security-deposit records, and website analytics or contact-form information. We use these for enquiries, booking, eligibility verification, rental administration, deposit administration, fraud and risk management, support, and legitimate rental claims or disputes.

Identity-document workflow

Foreign customers normally provide document copies through the official EV Drive Nepal WhatsApp communication channel for pre-verification. The website does not provide a passport, visa, licence or IDP upload system. Web3Forms is used for ordinary booking and contact enquiries only, not identity-document uploads.

Original passports, visas, home-country driving licences and physical IDPs may be inspected when required at handover and are returned immediately after verification. EV Drive Nepal does not retain the original passport as rental security. Copies may be collected for verification and rental administration, with access limited to authorised personnel who need them.

Sharing and safeguards

Identity-document copies are not sold or used for marketing. Information is shared only where reasonably necessary for the rental or a legitimate claim, with customer authorisation where required, or where disclosure is required by lawful authority. We use reasonable technical and organisational safeguards and limit access to people who need the information.

Retention and deletion

Identity-document copies are retained only for as long as reasonably necessary for verification, rental administration, deposit settlement, claims or disputes, and any applicable legal or regulatory requirements, after which they are securely deleted or destroyed.

Certain transactional, payment, rental or accounting records may need to be kept separately for legitimate accounting, legal or business-record purposes.

Service providers and analytics

The website uses Google Analytics 4 for usage measurement, Web3Forms for ordinary booking/contact form delivery, and Supabase for the partner portal’s authentication and operational data services when configured. Hosting and delivery are provided by the deployment platform used for the site. Analytics events exclude names, email addresses, phone numbers, WhatsApp message text and free-form enquiry content.
